About this case study: it is based on a business typical of the ones we work with, not a named client, and every number comes from the assumptions at the end of the page. Swap in your own and the sums still work.

The problem

About 40 children are absent on a normal day. The office calls each parent, many calls go unanswered, and by the time a worried parent finds out it is afternoon.

Fee reminders go home as printed slips. Circulars are forwarded into class groups in Gujarati and English, and the office answers the same questions on the phone.

What we build

  1. 1

    Absence alerts

Teachers mark attendance on a phone or tablet. Parents of absent children get a WhatsApp message by 10 am and can reply with a reason.

  2. 2

Fee reminders with a UPI link

Reminders go before and on the due date, in Gujarati or English, and stop once the fee is paid.

  3. 3

    One broadcast for circulars

Circulars go out once, to every parent, with a short FAQ answered automatically.

  4. 4

    Admission enquiries

Enquiries from the website and walk-ins land in one list, with a follow-up message and a visit slot.

Where a person stays in control

Messages only go to the parent numbers the school has on record, and anything about a child's wellbeing goes to the class teacher, not a bot.

Running cost

Roughly ₹2,500–4,000 a month for messages and hosting.

How the numbers work

  • 40 absences a day, 2-minute calls, 24 school days ≈ 32 hours a month.
  • Fee reminder calls: about 30 hours a quarter ≈ 10 hours a month.
  • Answering repeated questions: 1 hour a day × 24 days = 24 hours.
  • Office time costed at ₹200 an hour: 66 × ₹200 = ₹13,200.

Estimates, not promises. Use the savings calculator with your own hours and costs.

Textile wholesaler: WhatsApp orders that type themselves

About 178 hours a month of order typing and dispatch calls taken off the desk

Dealers send orders as WhatsApp messages, photos of handwritten lists and voice notes. Three people retype them into a sheet and then into Tally, and spend the afternoon answering "has my parcel left?"
