About this case study: it is based on a business typical of the ones we work with, not a named client, and every number comes from the assumptions at the end of the page. Swap in your own and the sums still work.

The problem

About 180 patients a day. Many call once or twice to ask whether the report is ready. Printouts are kept at the counter for collection.

Around 40 home collections a day are booked by phone, written in a register and handed to phlebotomists in the morning.

What we build

  1. 1

    Reports sent on sign-off

When the pathologist signs off a report in the lab software, the patient gets a WhatsApp message with a secure link to the PDF.

  2. 2

    Home collection booking

Patients book a slot online or on WhatsApp, with the address and tests. Fasting instructions go out the evening before.

  3. 3

    Routes for phlebotomists

Each phlebotomist gets the day's list in area order with map links, and marks each collection done.

Where a person stays in control

Only signed-off reports are sent, through a secure link, to the number registered at billing. Doctors still call patients about critical values.

Running cost

Roughly ₹4,000–7,000 a month for messages, secure storage and hosting.

How the numbers work

  • 120 report calls a day at 1.5 minutes ≈ 3 hours × 26 days = 78 hours; we assume 90% go away ≈ 70 hours.
  • 40 home collections a day; an online booking saves about 4 minutes, and we assume a third of patients book online at first: 40 × 4 min × 26 ÷ 3 ≈ 23 hours.
  • Front-desk time costed at ₹300 an hour: 93 × ₹300 = ₹27,900.

Dental clinic: reminders, recalls and fewer empty chairs

About 56 hours a month of reminder and recall calls handed to automation

The front desk spends its mornings calling tomorrow's patients and almost never gets to the six-month check-up calls. About one patient in five does not turn up.

Textile wholesaler: WhatsApp orders that type themselves

About 178 hours a month of order typing and dispatch calls taken off the desk

Dealers send orders as WhatsApp messages, photos of handwritten lists and voice notes. Three people retype them into a sheet and then into Tally, and spend the afternoon answering "has my parcel left?"
